Every morning each assistant drafts answers for the team to approve with one tap: questions customers asked that it couldn’t answer, the quality check’s fixes, the client’s change requests and what changed on the client’s website. Open To approve in the assistant’s menu.
To approve: where an answer came from (1), the draft to check and edit (2), approve or skip (3) and the weekly website check (4)

What’s on the list

The list is made at about 5:00 in the business’s time zone, and you get an alert when there’s something new. Make the list now builds it straight away. The home page’s Needs you list shows how many answers are waiting.

Approve an answer

1

Read the draft

The answer is written only from what the assistant knows. A fact it doesn’t have is left in [square brackets] for you to fill in, for example [the price]. It never invents prices, times or promises.
2

Fill in the gaps and edit

You can’t approve while anything is still in brackets.
3

Approve, or skip

Approve adds the answer to the knowledge, or updates the answer it replaces, and closes what it came from. For customer questions, Approve and send to who asked also sends it to the people who asked in the last 7 days. Skip only takes it off the list; it isn’t proposed again for 30 days.
Business owners see the same list in their portal (To approve) and can approve answers themselves.

The weekly website check

Add the client’s website under Weekly website check (4). Once a week it’s read again and compared with what the assistant knows. When prices, hours, services, contact details or booking rules differ, the change shows up on the list with what the website says and what the assistant says now. Approving updates the old answer instead of adding a second one. The website is filled in for you when quick setup reads a website or the client gives one in the intake form. If the site can’t be read one week, it’s simply tried again the next.
Two minutes with your morning coffee: approve what’s right, fill in what’s missing. Every answer you approve is one the assistant never gets wrong again.
